doc2jats is operated by Paideia Publishing Services LLC, a Delaware limited liability company. This Privacy Policy explains how we collect, use, and protect information when you use the doc2jats service ("Service"), available at doc2jats.com.

2. Information we collect

Account and billing information: When you purchase credits, we collect your name, email address, and payment information. Payment processing is handled by third-party providers (Stripe, PayPal). We do not store full credit card numbers on our servers.

API usage data: We log API requests associated with your API key, including the timestamp, endpoint called, and whether the request was successful. We do not log the content of submitted documents.

Document files: DOCX files submitted to the conversion pipeline are processed in memory on our servers. Files are not permanently stored and are deleted from memory immediately after the conversion is complete or the session ends. We do not retain, analyze, sell, or share the content of your documents.

Contact form submissions: If you contact us via the form on doc2jats.com, we collect your name, email address, and message content for the purpose of responding to your inquiry.

3. Analytics — Google Analytics

We use Google Analytics to understand how visitors interact with our website. Google Analytics uses cookies and similar tracking technologies to collect information such as:

• Pages visited and time spent on each page.
• Browser type, operating system, and device type.
• Approximate geographic location (country/region level).
• Referral source (how you arrived at doc2jats.com).

This data is collected anonymously and aggregated. We do not use Google Analytics to identify individual users. IP addresses are anonymized where required by applicable law. Google's use of this data is governed by the Google Privacy Policy.

You can opt out of Google Analytics tracking by using the Google Analytics Opt-out Browser Add-on.

4. Cookies

We use the following types of cookies:

• Analytics cookies — set by Google Analytics to track usage patterns (see section 3).
• Session cookies — used by the conversion wizard to maintain state during a single editing session. These are temporary and deleted when you close your browser.

You can control cookies through your browser settings. Disabling analytics cookies will not affect the core functionality of the Service.

5. How we use your information

We use the information we collect to:

• Provide and operate the Service, including credit management and API key authentication.
• Process payments and send transaction confirmations.
• Respond to support requests and inquiries.
• Analyze website usage to improve the Service (via Google Analytics).
• Detect and prevent fraudulent or abusive use of the API.

We do not sell, rent, or share your personal information with third parties for marketing purposes.

6. Data sharing

We share data only with the following categories of third parties, and only to the extent necessary to operate the Service:

• Payment processors (Stripe, PayPal) — for transaction processing.
• Cloud infrastructure (Amazon Web Services) — for hosting the conversion pipeline.
• Analytics (Google LLC) — for website usage analytics.
• CRM / business operations (Odoo) — for credit management and order records.

All third-party providers are required to handle your data in accordance with applicable privacy regulations.

7. Data retention

• Document files: not retained — deleted immediately after conversion.
• API usage logs: retained for up to 90 days for operational and security purposes.
• Billing and account data: retained for the duration of your account and for up to 5 years thereafter, as required for legal and accounting compliance.
• Contact form data: retained until the inquiry is resolved, then deleted.

8. Your rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

• The right to access the personal data we hold about you.
• The right to request correction of inaccurate data.
• The right to request deletion of your data (subject to legal retention requirements).
• The right to object to or restrict certain processing activities.
• The right to data portability.

9. Security

We implement technical and organizational measures to protect your data, including HTTPS encryption (TLS 1.2/1.3) for all data in transit, API key-based authentication, and access controls on our infrastructure. However, no method of transmission over the internet is 100% secure.

10. International transfers

The Service is operated from servers located in the United States (AWS us-west-2). If you are accessing the Service from outside the United States, your data may be transferred to and processed in the US. By using the Service, you consent to this transfer.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date. For material changes, we will make reasonable efforts to notify active users by email. Your continued use of the Service after changes constitutes acceptance of the updated policy.
